Initial situation
With the introduction of Abacus as the ERP system for finance and HR in 2021, management also required a strong planning and reporting solution. Budgeting in Excel had become cumbersome, hard to follow and time-consuming.
The goal was to improve financial steering across the company. Several requirements guided the project:
- Modernise financial planning, including forecast, budget and mid-term planning, and connect it directly with Abacus
- Introduce a clear authorisation model with defined access for mandate managers, controlling, HR and management
- Create transparency across sub-plans such as revenue, external services, personnel costs, IT and administrative expenses, and cost allocations
- Manage fixed assets including investments and calculate depreciation per cost centre automatically
- Provide an integrated view of balance sheet, income statement, cost centres, profit centres and cash flow for actuals, forecast, budget and mid-term planning
- Enable multiple planning scenarios to support decision-making
The solution
Auwiesen chose planyourbusiness, the cloud-based standard solution from Datalizard for financial planning. The system was introduced to establish a consistent, transparent and efficient planning process.
Role-based permissions made responsibilities clear and ensured that users were involved from the beginning. This contributed to quick adoption and a smooth rollout of the new processes.

Budget and forecas process
Budgeting now follows clearly defined responsibilities:
- Operational units plan revenue and external services in the “project planning” module
- HR plans staffing requirements and owns personnel cost figures
- CFO and controlling are responsible for investments as well as administrative and operating expenses
- Forecast and budget values are available in Abacus immediately after planning
Reporting process
- Automated data transfer: actual figures from Abacus are transferred to planyourbusiness several times a day
- Efficient quarterly reporting: once the quarter is closed in Abacus, all relevant data can be exported into Word templates and commented directly
- Detailed plan vs actual comparisons at company, division and profit centre level for Auwiesen Immobilien AG and its subsidiary WIN Elektro AG
- Annual financial statements and management reports are generated automatically
